Instead of adding exhibitors one by one, use the Import feature to upload a spreadsheet with all your exhibitor data at once. Only the Name column is required — all other columns are optional.
Go to Content → Exhibitors in the Eventify Admin Panel.
Click the Import button at the top right of the Exhibitors page.
In the Import dialog, click Sample CSV or Sample XLS to download the template.
Important: Always start from the downloaded template. Do not rename or delete any column headers — even if you leave a column blank.
The template includes a Notes section at the bottom of the dialog with these rules:
• Column headers must not be changed or deleted
• Name is the only mandatory field
• To assign staff, add their email(s) in the User Permission column — separate multiple emails with commas
• Phone number format: +xx xxxxxxxxxx
• Email format: xyz@xyz.xyz
• Date columns: use YYYY-MM-DD format
• Any row with invalid data is ignored (not partially imported)
Complete the template with your exhibitor data. Fields include: Name, Booth Number, Logo URL, Banner URL, About description, Display Order, contact details, social links.
Drag and drop your file into the upload area, or click to browse. Accepted formats: CSV, XLS, XLSX.
After upload, a preview of your data appears. Rows with errors are flagged. Click the info icon on any flagged row to see the exact error.
Common errors:
• Missing Name column or renamed headers
• Invalid email format (must be xyz@xyz.xyz)
• Invalid phone format (must be +xx xxxxxxxxxx)
• Invalid date format (must be YYYY-MM-DD)
• Invalid image URLs (must be publicly accessible)
Click Close to exit, fix your file, and re-upload.
Once your file is error-free, choose how to handle existing exhibitors with matching names:
• Update Duplicates — updates existing exhibitors that match by name
• Insert Only — skips any name matches and only adds new records
Enable the Skip blank field values toggle if you want blank cells in your import file to leave existing data untouched. Disable it if blank cells should overwrite existing values.
Use this when doing a partial update — for example, updating only booth numbers without clearing other fields.
Click Import. The imported exhibitors appear in the Exhibitors table.
