Running a virtual-only event or mixing in-person with online? Eventify handles both. Here’s exactly how to set it up from your admin panel, step by step.
Head to app.eventify.io/login and sign in. From the left-hand navigation, click Setup, then select Basic Info.
Scroll down to the Venue field. This is where you specify the venue for your event.
Enter the name of your physical venue, then click Save before proceeding to the next step.

In the left-hand menu, click the Content tab. From the dropdown, select Schedules. You’ll land on the agenda view showing all your event dates and sessions.

Select the date you want to work with. Then either:
This opens the session form — fill in the title, date, start time, end time, description, and location as needed.

Once you’ve filled in the basic session details, scroll down past the speaker, exhibitor, and sponsor linking sections. You’ll see a tab or section called Files & Streaming — click into it.
Inside Files & Streaming, look for the Session Live Video field. This is where you paste in:
Make sure your Zoom meeting is already created in your Zoom account before pasting the ID here. Once saved, attendees will see a Watch Live Session button directly in the Eventify app.

Still inside Files & Streaming, scroll to the Other Video Links section. This is where you can drop in additional recordings, pre-session prep videos, or session replays. Both in-person and virtual attendees will be able to access these — handy for hybrid setups where you want everyone to have the same content regardless of how they joined.

If you have handouts, slide decks, or PDFs to share, use the Upload File option in the same section. Attendees can download these from the app before or during the session.

Click Save at the bottom of the form. Your session is now set up with a virtual link attached. Repeat this process for any other sessions in your schedule that have a virtual component.
Once the session is set up, here’s what the experience looks like for attendees joining virtually through the Eventify app:

Q: “Can I run both in-person and virtual attendance under the same event?”
Yes — that’s exactly what hybrid mode is for. When you mark the event as hybrid in Setup > Basic Info > Venue, you can have physical attendees on-site while virtual attendees join via the streaming links you’ve added to each session. Both groups live inside the same event on Eventify.
Q: “What streaming platforms does Eventify support?”
Eventify works with Zoom (via Meeting ID) and YouTube Live (via URL) natively through the Session Live Video field. For any other platform — like Microsoft Teams, Hopin, or a custom RTMP stream — you can paste the direct URL in the same field and it’ll work just as well.
Q: “Where exactly in the dashboard do I add the streaming link?”
Go to Content > Schedules, open the session, then navigate to the Files & Streaming section within that session. The field is labelled Session Live Video and accepts a Zoom Meeting ID or any live URL.
Q: “Can each session have a different streaming link?”
Yes. The streaming link is set at the individual session level, not the event level. So if you have five sessions across two tracks, each one can point to a completely different Zoom meeting, YouTube channel, or URL. This is particularly useful for multi-track conferences where different rooms are running in parallel.
Q: “Can I use a pre-recorded video instead of a live stream?”
Absolutely. If you’re not going live, you can still add a video URL — just paste the link (YouTube, Vimeo, or similar) into the Session Live Video field or use the Other Video Links section for supplementary recordings. Attendees will see the Watch button and can access it at the scheduled time or on demand.
Q: “What if I need to update or change the streaming link after saving?”
No problem. Just go back to Content > Schedules, open the session, navigate to Files & Streaming, and update the Session Live Video field. Save again and the new link will be live immediately. Since attendees aren’t automatically notified of changes, it’s worth sending a quick push notification or email via the Outreach section to let them know.
Q: “Can I switch the event from virtual to in-person (or vice versa) after creating it?”
Yes, at any time. Head to Setup > Basic Info > Venue and update the event type. You don’t need to recreate anything — just change the setting, update the relevant session details, and save. Everything else stays intact.
Q: “Is there a limit on how many virtual sessions I can have?”
No limit. You can add streaming links to as many sessions as you need, across as many tracks and dates as your event covers.
Q: “Will attendees be notified automatically when a session link is added?”
Not automatically. Eventify doesn’t send a notification when session content is updated. If you add or change a streaming link, it’s good practice to send a manual notification through Outreach > Push Notification or Outreach > Email Notification so attendees know where to tune in.
