Overview

If you are an exhibitor or sponsor at an event hosted on Eventify, you can log in to manage your booth profile, upload media, view analytics, and capture leads. This guide walks you through the full process from receiving access to using the on-site tools, on both web and the mobile app.

Before you start

You must meet two conditions before you can manage a booth profile:

1. You must be registered as an attendee for the event using a valid email address.
2. The event organiser must assign you as a Booth Manager through the User Permissions tab on your exhibitor or sponsor profile.

If you have not been assigned, contact the event organiser and share the email address you used during registration. Multiple booth managers can be assigned to the same profile, so each member of your team can have access.

Step 1: Receive the Welcome Email

Once you are registered and added as a booth manager, you will receive a Welcome Email from the event organiser. This email contains the login URL, your registered email address, and instructions to access the event.

Step 2: Log in on Web or Mobile App

You can sign in to the event on either the web portal or the Eventify mobile app using the same credentials.

On Web

  1. Open the event web portal URL provided in your Welcome Email.
  2. Click Login.
  3. Enter the email address you used during event registration.
  4. Accept the Terms & Conditions and click Continue.
  5. Enter the passcode sent to your email to complete the login.

On App

  1. Download the Eventify app from the App Store or Google Play, or open the event-branded white-label app provided by the organiser.
  2. Tap Login.
  3. Enter the email address you used during event registration.
  4. Accept the Terms & Conditions and tap Continue.
  5. Enter the passcode sent to your email to complete the login.

If you have trouble logging in, tap Contact support on the login screen.

Step 3: Set up your booth profile

After logging in, your personal attendee profile appears by default. You can switch to your exhibitor or sponsor profile to edit booth details.

On Web

  1. Click your name in the top right corner of the page.
  2. Select Edit Profile from the dropdown.
  3. Use the toggle in the top right to switch from Personal Mode to Exhibitors Mode or Sponsors Mode.
  4. Update your profile image, cover image, basic details, bio, attachments, and social links.
  5. Click Save to apply the changes.

On App

  1. Tap your profile picture to open the side menu.
  2. Tap My Profile.
  3. On the Step 1 of 2 screen, tap the Exhibitor or Sponsor tab at the top.
  4. Tap Edit to update your logo, cover image, basic details, and any other profile fields.
  5. Tap Continue to save the changes.

All other attendees with access to your profile can view the updated details, including attachments, social links, and booth personnel.

Step 4: View your Exhibitor Dashboard

The Exhibitor Dashboard gives you a quick overview of your booth's performance, including profile views, messages, bookmarks, and email clicks.

On the app, open the side menu and tap Exhibitor Dashboard under Event Tools. You will see your booth card, current stats, and a View Profile button to open the public-facing booth page.

Step 5: Use Lead Retrieval to capture leads

The Lead Retrieval feature lets you scan attendee badges or business cards to collect leads at your booth.

  1. Open the side menu on the Eventify mobile app.
  2. Tap Lead Retrieval under Event Tools.
  3. Tap Scan QR to scan an attendee badge, or Scan Business Card to capture a physical or digital business card.
  4. Categorise each lead as Hot, Warm, or Cold from the Leads screen.
  5. Tap Export on the Leads screen to download the captured list as a text file.

Step 6: Access exportable statistics

You can view and export detailed analytics for your booth profile, including engagement metrics, lead counts, attendee traffic, networking sessions, brand visibility, and vCards.

On Web: From Edit Profile, switch to Exhibitors Mode (or Sponsors Mode) and click Exhibitor Stats (or Sponsor Stats) to open the full statistics view. Click Export All to download a PDF or Excel report.

On App: Open the Exhibitor Dashboard and tap View More to access the exportable statistics view.

Tips

  • Complete your profile fully before the event starts, including logo, cover image, bio, attachments, and social links.
  • If a colleague should also have access to the booth profile, share their registered email with the event organiser and ask them to add the person as a booth manager.
  • Use Lead Retrieval throughout the event rather than waiting until the end. This makes it easier to follow up on hot leads in real time.
  • Check the Exhibitor Dashboard regularly during the event to gauge engagement and adjust your booth approach.
  • Export your statistics report after the event closes to share results with your team or for ROI reporting.

FAQ

Q: I am an exhibitor or sponsor. How do I get login access?
A: You must first be registered as an attendee for the event. The event organiser then assigns you as a booth manager through the User Permissions tab on your exhibitor or sponsor profile. Once assigned, you will receive a Welcome Email with your login details.

Q: I did not receive a Welcome Email. What should I do?
A: Check your spam or junk folder first. If the email is not there, contact the event organiser to confirm your registered email address and request a resend.

Q: Can more than one person manage the same booth?
A: Yes. There is no limit to the number of booth managers that can be assigned to a single exhibitor or sponsor profile. Each manager can edit the profile and network with attendees independently.

Q: Do I log in to a separate exhibitor portal?
A: No. You log in to the same event web portal or mobile app that attendees use, with the same email address you registered with. After logging in, you can switch between Personal Mode and Exhibitors Mode (or Sponsors Mode) to manage the booth profile.

Q: I forgot my passcode. How do I log in again?
A: On the login screen, enter your registered email address and click Continue. A fresh passcode will be sent to your email each time you log in.

Q: Can I edit my booth profile on the app or only on the web?
A: Both. You can edit the profile on the web by switching to Exhibitors Mode under Edit Profile, or on the app by tapping the Exhibitor tab on the My Profile screen.

Q: How do I access Lead Retrieval?
A: Open the side menu on the Eventify mobile app and tap Lead Retrieval under Event Tools. From there you can scan attendee QR codes or business cards.

Q: Can I export my booth analytics?
A: Yes. From the Exhibitor Stats (or Sponsor Stats) view on the web or the app, click Export All to download a PDF or Excel report covering profile views, product visits, document downloads, media views, leads, attendee traffic, networking sessions, brand visibility, and vCards.

Q: Is the process the same for sponsors as for exhibitors?
A: Yes. The login flow, profile setup, and access to dashboards, lead retrieval, and statistics are the same. The only difference is that sponsors switch to Sponsors Mode (instead of Exhibitors Mode) on the web, and tap the Sponsor tab on the My Profile screen on the app.
