The Assign User or User Groups field in the itinerary form is a multi-select. It searches both groups and individual attendees at the same time.
Each selection appears as a tag. You can add as many tags as needed before saving.
| Group assignment | Individual assignment | |
|---|---|---|
| Who gets access | All current and future members of the group | Only that specific person |
| Auto-update when roster changes | Yes — new group members automatically get access | No — each person must be added manually |
| Best for | Large cohorts with shared travel plans | One-off additions (e.g., a last-minute VIP) |
Changes take effect immediately. Attendees removed from the assignment will no longer see the itinerary in their app.
The All Itineraries table shows each itinerary's assignments at a glance:
If a single attendee belongs to two groups and both groups are assigned to the same itinerary, the attendee sees that itinerary once — there are no duplicates.
If an attendee is assigned to multiple different itineraries (via different groups or direct assignment), all itineraries appear in their Itinerary section in the app. Each itinerary is listed separately.
Group assignment controls who can see the itinerary and its activities. Vouchers — the personalized documents — are managed separately per attendee, regardless of how the itinerary was assigned.
When you open Manage Vouchers on an activity, the table lists every attendee from all assigned groups and individuals. Each attendee has their own upload slots.
Important: If you assign a new group to an itinerary after vouchers have already been uploaded, the new group's attendees will appear in the voucher table with empty slots. You will need to upload their voucher files separately.
A: Removing a group from the assignment removes those attendees' access to view the itinerary. It does not automatically delete their voucher files — the files remain in the system. Re-assigning the group restores their access along with their existing vouchers.
A: Yes. A single group can be assigned to multiple itineraries. Each itinerary appears as a separate entry in the attendee's app.
A: No documented limit. You can assign as many groups and individuals as needed.
A: There is no "all attendees" shortcut. You would need to select all relevant groups (or a top-level group that contains all attendees) individually in the assignment field.
A: No. Even if an attendee qualifies through multiple assignments (e.g., they are in Group A and Group B, and both are assigned to the same itinerary), they see that itinerary only once in the app.
A: Click Edit on the itinerary and check the Assign field to see all assigned groups and individuals. If you need to verify a specific attendee is covered, check which groups they belong to (under People → Attendees) and confirm at least one of those groups is assigned.
