Top 9 Event Planning & Management Skills

Financial Management Skill

Financial management skill is one of the most important professional event planner requirements. As a planner, you should be able to manage costs and deliver a high-quality event. You should maximize client value and handle budgets responsibly by constantly maintaining transparent financial records, seeking cost-saving opportunities and analyzing costs.

Since planning entails several financial activities such as contract negotiation, creation of budgets, and allocation of resources you should be able to perform all these activities and still track all the expenses and work with the budget. Working within a budget helps you deal with different customers since some may have a lot of money to throw at events while others may be tight within a budget.

Ensure that your budget is in check and all the individuals involved understand the basic accounting that has been used in the planning. If need be and in case you have some dollars to spare, work with an accountant to help you.

Time Management and Organization Skill

As a digital event strategist and an event planner, one of the most essential skills you require is impeccable time management and organization. There are many activities involved during event planning, including budgeting, scheduling, logistics and moving various parts. You have to be organized to work on these activities on time.

If you are not organized enough, you lose track of each activity, making things hard for you and your clients. Being well-organized helps you juggle various tasks effectively and ensure everything runs smoothly. Be sure to create detailed event timelines to help you manage contracts and budgets.

Additionally, you can use tools like checklists, event management software and spreadsheets to help you stay on top of all the vital activities and have a smooth implementation.

Communication Skill

There are so many people who are involved in event planning from clients, your team of workers, the suppliers and many more. You have to collaborate with all these people well enough to ensure your work runs smoothly and effectively. Collaboration cannot happen if there is no clear and concise communication.

Communication entails listening actively to everybody involved in the planning to understand all the requirements so that you can negotiate with different suppliers and coordinate with people working to make the event successful.

If you can convey expectations, ideas and information professionally and clearly, you become a compelling event experience leader. You have to build relationships through strong verbal and written interpersonal skills.

In many cases, clients are clear about what they want for their events, and it is your job to understand what they want, ask the correct questions and give them what they need. All these require good listening skills. As an event planner, you have to manage expectations and resolve conflicts, which form part of the planning process.

Problem-Solving Skill

There is a lot of pressure during event planning and management due to the multiple activities going on, which puts you under pressure as an event organizer. You should remain calm and analyze these circumstances objectively to make sound decisions that will keep the operation running smoothly.

Problem-solving skills are achieved over time through experience. As you continue planning different events for different clients, you will notice that you encounter different problems. As you continue finding solutions for these problems, you expand your thinking and are able to handle any unforeseen challenges thrown your way.

Have a backup plan as a planner and see problems before they happen for you to create potential solutions.

Creativity and Flexibility

When it comes to event planning, you encounter different activities and people. One day you are planning a business party and the next day you are planning a birthday party for a one-year-old. All these events require different things and different people attend them. Your task is to get all creative and come up with fresh different ideas for every event you plan. After all, you are in this field as a planner because you are creative. You are able to make boring corporate events exciting by applying some degree of creativity.

Flexibility is also important in such a dynamic industry, as there are many unforeseen last-minute changes and challenges that you can encounter. If you have a creative and adaptable mindset, you can pivot quickly, adapt to new situations and turn unexpected challenges into opportunities for accomplishment.

If you are creative and flexible, you are able to keep your head cool as you can take problems in strides and treat them as minor hurdles and not serious roadblocks.

Detail Oriented

As you know, successful event planning is about details. What creates memorable experiences are the little things which make significant differences. As an event planner, you have to pay close attention to all the minor aspects of the event. From the entertainment and menu to the seating arrangements and decor.

Having an eye for detail ensures that all the elements align with the vision and objectives of the clients and nothing remains overlooked. Be a person who conducts thorough quality control checks the setups, and reviews the contracts meticulously to be able to deliver flawless events. Consider the most miniature details as you also check the big picture.

Networking Skill

Are you great at building relationships outside work? Do you plan meetups with other event planners working in the same industry? If you do not, then start today and get to know people who will help you build your brand.

Meeting people outside work and building strong connections with them is a great way of networking and can help you build your brand as an event planner. If you build a strong network of industry contacts, vendors, and suppliers, you get to open doors to valuable referrals, collaborations and resources.

Do not ignore all the industry events or professional organizations planned by companies in the industry. Use these meetups to engage your peers and expand your circle which will enhance your credibility. Such places help you meet potential clients and get referrals to clients who can become regulars in the future.

While it is obvious that many planners attend event planner courses to get event planning certification, I know for sure that this helps them improve their skill set and expand their network.

Tech Expertise

Whether it is a retirement party for an 80-year-old man, or a baby shower, as an event planner you need to be tech-savvy. For one to be able to expand their brands and showcase their events online, they should be able to learn how to use as many digital tools as possible.

Virtual event streaming on Instagram, Facebook, YouTube, Twitter and many other social media platforms is rising. Starting in 2022, research done by Vfairs predicted that 95.5% of virtual events will be webcast. So, for you to keep ahead as an event planner you must improve your Information technology skills.

To avoid living under a rock, have an open mind and learn, subscribe to industry news and follow trending events. The world is revolutionizing because of technology and only an open-minded person can keep up with it.

People Skill

One quality that all successful event planners have in common is people skills. Event management entails meeting and dealing with various stakeholders such as suppliers, vendors, event staff, and sponsors and as a planner, you have to collaborate with them confidently.

When you have people skills, you can successfully maintain and build better relationships, negotiate confidently, resolve conflicts and maintain a sense of humour.  All these will help you in attracting individuals who want to work with you. Successful event management is an effort of a team, and this is about building relationships and people skills.

If you are considering a career in event planning, you should be able to create a welcoming atmosphere when you meet with people.

Bottomline

As you can see, becoming a successful event planner requires you to have various event management and marketing skills which include but are not limited to networking, time management and organization, financial management, creativity and flexibility, detail-oriented, problem-solving and communication skills. Position yourself to success by continuously honing these events planning skills and delivering fantastic events that will leave a great lasting impression on the people.
