Eventify supports role-based access control for every user type in an event. Administrators define what each role can see, access, and modify, which keeps responsibilities clear and protects attendee data.
Roles cover the full event lifecycle: attendees, speakers, sponsors, exhibitors, admins, managers, volunteers, and abstract reviewers. Each role carries its own permission set, configured once and applied consistently across the platform.
Where role-based access applies
Permissions in Eventify operate at two distinct levels:
Admin panel. Controls what your team can manage on the backend, including registrations, sessions, sponsors, exhibitors, content, payments, and analytics.
Event app and attendee web portal. Controls what end users see and do in the live event experience, including session access, networking, lead capture, exhibitor booths, and engagement features.
Roles available out of the box
Eventify ships with a defined set of roles that cover most event team structures:
Attendees for delegates accessing sessions, networking, and engagement tools
Speakers for presenters managing their sessions, materials, and Q&A
Sponsors for sponsor representatives running booths, ads, and lead scanning
Exhibitors for exhibitor teams managing booths, product showcases, and lead capture
Admins for full backend control of the event configuration
Managers for delegated admin access with limited scope
Volunteers for on-site staff handling check-in and operations
Abstract users for paper submitters and reviewers in academic or research events
What admins can configure
Each feature in Eventify can be enabled or disabled per role. A volunteer can be given check-in access without seeing financial data. A sponsor representative can capture leads without editing session content. An exhibitor team can manage their booth and product showcase without touching attendee records.
Examples of the control available:
Show or hide specific modules such as chat, networking, agenda, exhibitors, sponsors, gamification, polls, and surveys per role
Restrict admin functions such as user management, ticket creation, badge printing, and analytics by team member
Control whether sponsors and exhibitors can view the full attendee directory or only their own leads
Limit volunteer access to check-in and on-site operations only
Assign event roles to attendees, speakers, abstract reviewers, and managers from a single user database
Operational benefits
Role-based permissions reduce errors, protect attendee data, and keep operations clean. Each team member sees only what they need, which speeds up daily work and prevents accidental changes to live event configurations. For larger events with multiple stakeholders across agencies, sponsors, and internal teams, role separation also simplifies coordination across organizations.
Permissions are not locked to a single template. Admins can adjust them at any point in the event lifecycle, from setup through to post-event reporting, without rebuilding the event configuration.
